Companies with documentation and localization needs can use Biblioso as an on-demand source of talent to complement their in-house resources or to completely outsource internal documentation and localization processes. The Biblioso Portal includes a project and documentation management platform plus enterprise management tools that corporate customers need to handle documentation and localization projects efficiently. The frequently asked questions in this section specifically discuss topics concerning corporate customers.
For Corporate Customers:

Corporate customers typically have complex documentation or localization needs. A large number of projects might run in parallel, and it is not uncommon for companies to have in-house writers, editors, and other documentation specialists who work on these projects. Companies may also have separate divisions or departments managing their own projects and resources more or less independently of each other. To best address these needs, the Biblioso Portal offers corporate accounts access to enterprise management tools, such as the Biblioso Directory, in addition to the standard features.

The corporate customer account is the best choice when:
  • You want to centralize the management of a large number of projects that run in parallel.
  • You have multiple individuals handling documentation and localization projects, possibly spread over different divisions or departments.
  • You want to use in-house resources such as writers or editors in Biblioso projects.
  • You want to perform your own user account management on the Biblioso Portal.
  • You want to centrally track the projects, managers, resources, and costs within or across departments, divisions, or the entire company.
  • You want to outsource your documentation and localization processes.
Creating a corporate account begins with an account registration on the Biblioso Portal. The Biblioso Portal serves as an entry into our business world. Initially, your account only has access to a subset of features until we have a chance to discuss your specific requirements as well as the terms and conditions for using the Biblioso Portal. If you agree, we will fully activate your account, so that you can access all features of the Biblioso Portal available to corporate customers.

The steps to create a corporate account at Biblioso are:
  1. You create a user account on the Biblioso Portal.
  2. You can immediately use this account to log on. A subset of features is available. For example, you can verify and complete your account information and you can use the Available Services form to tell us about your needed documentation and localization services.
  3. We contact you to determine available service options that best suit your needs.
  4. Upon selection of an appropriate service option, we fully activate your account and provide access to all relevant features of the Biblioso Portal.
  5. You can now use the Biblioso Directory to create a structure of organizational units, user accounts, groups, and projects. Using the Biblioso Directory, you can also delegate administrative rights and rights to create projects to other users in your organization.
Biblioso customers must agree to our terms and conditions and must sign an NDA agreement to ensure that no hostile actions are conducted against Biblioso and its service contributors, customers, and other visitors and users of the Biblioso Portal, including pouching of resources, launching attacks against our Web site, or reverse engineering the features of the Biblioso Portal.
As a corporate customer, all of Biblioso’s services and service packages are available with standard rates and volume discounts or outsourcing options. An account manager is assigned to you as your direct Biblioso contact for all administrative matters. You get access to the Biblioso Portal and the Biblioso Directory with all of its project, document, and enterprise management features. As the person establishing the business relationship with Biblioso, you are granted Global Admin rights in the Biblioso Directory for all of the resources that belong to your organization. These rights grant privileges to create organizational units, fully approved user accounts, groups, and project. You as the administrator can delegate administrative permissions to other users in your organization. You can also grant users the right to create projects or revoke that right from all users if you prefer to handle all project decisions centrally. At any point in time, you have access to status reports, files, discussions, and issues for every project of your organization.

Beyond the capabilities of individual customer accounts, corporate accounts enable you to:
  • Grant individual user accounts from your organization the right to create approved user accounts at Biblioso.
  • Grant your user accounts the right to create projects for your organization at Biblioso.
  • Delegate the project sponsor role between users in your organization.
  • Assign in-house resources a contributor role in your own projects at Biblioso.
  • Quickly check the status of each individual project of your organization at Biblioso. Global Admins can check the status of all projects across the entire organization. Administrators of organizational units can check the status of each individual project within the scope of their organizational unit.
Customers communicate with Biblioso through phone, e-mail, and various discussion forums provided throughout the Biblioso Portal. We prefer discussion forums to e-mail and e-mail over telephone, if possible.

As part of our quality management processes, you have access to an account manager. The account manager is your personal Biblioso contact to discuss administrative issues. You also will be assigned a preferred project manager to manage your projects. The project manager is the primary contact for all project-related issues. You also have access to our technical support group through the Support box in the protected area of the Biblioso Portal and through e-mail to discuss technical issues and ask questions.

The process of creating projects through a corporate account on the Biblioso Portal differs from creating projects through an individual account. While individual customers always have the right to create projects, corporate accounts can restrict this right to a subset or limited number of users in their organization. If a user has the right to create projects within the organization or within a particular organizational unit, then the Create Project option is available in the context menu of the selected directory object. Clicking on that menu option displays the Create Project in dialog box. The user must enter a project name and optionally additional information for the project.

The corporate user who created a project at Biblioso automatically becomes the sponsor for that project. The sponsor is the project manager’s direct contact to obtain additional information, such as work specifics, deadlines, support material, and other details. Corporate accounts can delegate the project sponsor role to any user with project management rights in their organization.
