The Logistics Coordinator supports the movement, receipt, storage, and delivery of hardware assets across domestic and international locations, including our sites, suppliers, and partner facilities.
This role ensures efficient coordination of shipments, proper inventory handling, and timely last-mile delivery to labs or customers. The position also interfaces with internal stakeholders, suppliers, and logistics partners to maintain operational continuity and resolve issues.
Must be able to lift up to 50lbs, repeatedly if needed.
• Coordinate international and domestic shipments of assets across Microsoft geo-locations, suppliers, and partners
• Support shipping escalations and collaborate with global trade teams, suppliers, freight forwarders, and 3PL partners to ensure smooth customs clearance
• Arrange freight and customs services, including placing POs when required to enable continued shipment movement (including scenarios where we are not the Importer of Record)
• Ensure timely last-mile delivery to hardware labs or customers
• Coordinate receipt of inbound shipments from domestic and international vendors
• Receive freight from carriers and forwarders
• Unpackage, inspect, and properly store server and hardware components
• Update internal inventory management systems with accurate status and location data
• Maintain proper storage practices aligned with operational and handling requirements
• Act as Tier II support coordinating between procurement, transportation, and warehousing functions to ensure efficient and cost-effective service delivery
• Work closely with Development PMs to determine hardware requirements for exports across multiple geographies
• Provide Directly Responsible Individual (DRI) support for critical project teams to drive timely hardware delivery
• Advise stakeholders on logistics status, risks, and execution as needed
• Create and manage purchase orders (POs) supporting logistics, freight, and customs activities
• Monitor PO status and update internal systems accordingly
• Track and resolve PO exceptions and work with suppliers to reduce lead times
• Escalate billing and invoice discrepancies with suppliers, manufacturers, and internal stakeholders
• Bachelor’s degree or equivalent experience (6+ years in logistics, supply chain, or related field)
• Experience working with freight forwarders and international shipping operations
• Knowledge of hazardous materials (HAZMAT) handling and certifications preferred
• Familiarity with IATA Dangerous Goods shipping requirements
• Working knowledge of import/export documentation, trade terms (Incoterms), and compliance processes
• Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Visio)
• Experience supporting data center, lab, or hardware environments
• Familiarity with inventory tools (SAP, ADO, or similar systems)
• Experience supporting high-urgency or escalation-driven logistics environments (like R&D hardware or pilot programs)
